1. Who we are and scope
Myles Equipment Ltd. provides heavy-equipment rental and related developmental services from North Caicos across the Turks and Caicos Islands. This policy applies to information collected through mylesequipment.com, the website enquiry form, email, telephone and related business communications.
It does not govern third-party websites that we do not control. A separate contract, employee notice or supplier notice may apply where a relationship requires more specific information.
2. Information we collect
Information you provide
When you request a quote or contact us, we may collect your name, email address, telephone number, equipment requirements, requested date and rental period, project description, island, site-access details and anything else you include. If an enquiry proceeds, we may also collect business and billing details, delivery address, identification or authority to contract, payment and transaction records, signed agreements, insurance information, site and safety information, and correspondence.
Analytics and technical information
Google Analytics and our hosting or technical providers may collect or derive information such as IP address, approximate location, browser and device type, operating system, referring source, requested and viewed pages, navigation events, session duration, date and time, and diagnostic or security logs. Google Analytics uses identifiers, including the _ga cookie in a standard implementation, to distinguish users and sessions. We use aggregated reports to understand site performance and improve content and usability. We do not use the site for targeted advertising or sell analytics data.
Google Search Console
We use Google Search Console reports about how the site appears and performs in Google Search. These reports can include search queries, pages, countries, devices, impressions, clicks, click-through rate and average position. Search Console is a reporting service associated with the website rather than a visitor-facing feature.
Information about other people
If you give us another person’s information—such as a site contact, operator, employee or authorised representative—you must have authority to provide it and should direct that person to this policy.
3. How and why we use information
We may use personal information to:
- receive, assess and respond to enquiries;
- prepare quotations and recommend suitable equipment or services;
- verify identity, authority, site information, availability and delivery requirements;
- enter into, administer and enforce rental agreements and work orders;
- coordinate delivery, collection, operators, scheduling and project communications;
- process payments, invoices, deposits, refunds and accounting records;
- manage equipment safety, incidents, damage, insurance and legal claims;
- maintain business, tax, regulatory and audit records;
- secure, diagnose and improve the website and communications systems;
- prevent fraud, misuse and unlawful activity; and
- comply with legal obligations and respond to lawful requests.
Depending on the circumstances, these activities are carried out because they are necessary to respond to your request or perform a contract, because we have legitimate business and security interests, because you have consented, or because law requires them. Where consent is relied upon, you may withdraw it for future processing.
5. Retention
We retain information only as long as reasonably needed for the purpose collected, ongoing customer service, contractual and safety records, accounting and tax obligations, dispute resolution, fraud prevention and legal claims. Retention varies by record type. Unsuccessful enquiries may be deleted or anonymised when no longer reasonably needed; transaction records may be kept for the applicable statutory or claims period.
6. Security
We use reasonable administrative, organisational and technical measures appropriate to the nature of the information. These may include access restrictions, reputable service providers, device and account controls, backups and secure transmission where supported. No internet or storage system can be guaranteed completely secure. Do not submit unnecessary sensitive information through the general enquiry form.
7. Children
The website and rental services are intended for adults and business users. We do not knowingly solicit personal information from children. A parent or guardian who believes a child has submitted information should contact us so we can assess and delete it where appropriate.
8. Your choices and requests
Subject to applicable law and relevant exceptions, you may ask us to confirm whether we hold information about you, provide access, correct inaccurate information, delete information no longer needed, restrict or object to certain use, or withdraw consent. You may also opt out of non-essential marketing at any time.
To protect information, we may request reasonable verification. Some records cannot be deleted immediately where they are required for a contract, safety, accounting, legal claim or legal obligation. We will explain any applicable limitation when responding.
You may also raise a concern with the appropriate Turks and Caicos Islands authority where a statutory complaint right applies.
9. Changes to this policy
We may revise this policy when our services, technology or legal obligations change. The updated version will be posted here with a revised effective date. Material changes may also be communicated through an appropriate additional notice.
